Job Description
A well-established organization is seeking an AP Specialist to support the team during a software implementation. This role is responsible for supporting high-volume accounts payable operations by processing invoices, maintaining vendor records, administering electronic payments, coding corporate credit card transactions, and ensuring timely and accurate payment processing. This position offers the opportunity to work with multiple business locations while partnering closely with internal departments and vendors to ensure efficient financial operations. The ideal candidate is detail-oriented, organized, and enjoys working in a fast-paced accounting environment.
Key Responsibilities
- Process high-volume accounts payable invoices for multiple business locations
- Review invoice coding and approvals to ensure accuracy and compliance
- Process invoice corrections, including voids and reinstatements
- Set up and maintain recurring invoices within the ERP system
- Maintain vendor accounts, electronic payment portals, and online payment systems
- Establish and maintain vendor records, including W-9s, certificates of insurance, and other compliance documentation
- Process manual and expedited check requests
- Assist vendors with payment inquiries and electronic payment enrollment
- Prepare and process annual 1099 reporting
- Research and resolve outstanding vendor payments and aged checks
- Code and process corporate credit card transactions
- Review and approve assigned overhead, equipment, and job-cost invoices
- Prepare and distribute vendor payments
- Communicate professionally with vendors and internal departments regarding invoices and payment status
- Participate in department meetings and continuous process improvement initiatives
- Perform additional accounting and accounts payable duties as assigned
Qualifications
- Associate degree in accounting, business, or a related field preferred; equivalent experience will be considered
- 2+ years of accounts payable or accounting support experience preferred
- Knowledge of accounts payable processes and basic accounting principles
- Strong attention to detail and organizational skills
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines
- Proficiency with Microsoft Office, including Excel and Outlook
- Experience working within an ERP system preferred
- Ability to build strong working relationships across all levels of the organization
- Self-motivated with the ability to work independently and as part of a team
