Job Description
Our client, an established multi-entity organization, is seeking an experienced Payroll Manager to serve as the sole payroll subject matter expert across several affiliated companies. This highly autonomous role oversees end-to-end payroll administration, multi-state compliance, retirement plan administration, deferred compensation programs, benefits-related payroll functions, and payroll system management. The position offers broad exposure to executive leadership and business operations, with responsibility for advising on regulatory changes, process improvements, and enterprise-wide payroll strategy.
Responsibilities:
- Lead and manage end-to-end payroll operations for multiple affiliated business entities.
- Ensure compliance with federal, state, and local payroll regulations, tax requirements, and wage and hour laws.
- Administer and maintain payroll systems, including configuration updates, employee records, earnings and deduction codes, and reporting functions.
- Review payroll-related accounting activity, reconcile payroll accounts, and support financial reporting requirements.
- Oversee retirement and deferred compensation program administration in partnership with third-party providers and plan advisors.
- Monitor benefits-related payroll deductions and coordinate with vendors to ensure accuracy and timely resolution of issues.
- Provide governance and compliance oversight for international payroll activities managed by in-country teams.
- Support year-end payroll activities, including tax reporting, reconciliations, and annual system setup.
- Serve as an internal resource for leadership and HR teams on payroll matters, regulatory developments, and policy interpretation.
- Coordinate with external payroll, benefits, and compliance partners to implement process improvements and resolve complex issues.
- Assist with employment verifications, unemployment claims, audits, and other payroll-related administrative matters.
- Identify opportunities to improve processes, strengthen controls, and enhance operational efficiency across payroll functions.
Qualifications and Requirements:
- 10+ years of progressive payroll experience, including responsibility for complex, multi-entity payroll operations.
- Strong knowledge of multi-state payroll regulations, tax compliance, wage and hour requirements, and payroll best practices.
- Experience administering payroll through ADP Workforce Now or a comparable enterprise payroll platform.
- Demonstrated ability to independently manage payroll processes with a high degree of accuracy, confidentiality, and accountability.
- Experience supporting retirement plans, including 401(k) administration and coordination with third-party service providers.
- Familiarity with nonqualified deferred compensation plans and related compliance considerations preferred.
- Bachelor's degree in Accounting, Finance, Human Resources, Business, or a related field preferred; equivalent experience may be considered.
- Professional payroll certification (CPP or FPC) preferred.
- Strong analytical, reconciliation, reporting, and problem-solving skills.
- Advanced proficiency in Microsoft Excel and other Microsoft Office applications.
- Experience collaborating with leadership, HR, finance, and external vendors on payroll-related matters.
- Excellent organizational, communication, and time-management skills with the ability to manage competing priorities.
- Knowledge of international payroll oversight or cross-border payroll compliance is a plus.
- Ability to interpret regulatory changes and communicate business impacts to stakeholders at various levels of the organization.

The base pay for this position is $100,000-$125,000, excluding benefits, bonuses, or other compensation. Your final compensation will depend on your skills, qualifications, experience, location, and internal pay equity. Please note, hiring at the top of the range is uncommon to allow room for future growth.
