Job Description
Are you looking for more than a traditional front desk role? We are seeking a Front Office Coordinator who will serve as the first point of contact for employees, customers, vendors, and visitors while supporting multiple departments throughout the organization. This position offers a unique blend of front office administration, project coordination, purchasing support, travel coordination, and operational assistance. The ideal candidate is a proactive self-starter who enjoys variety, embraces new challenges, and wants to play an active role in supporting the success of the business.
Responsibilities
- Welcome and assist employees, customers, vendors, and visitors while creating a positive first impression
- Answer and direct incoming phone calls, manage voicemail messages, and distribute incoming mail and packages
- Coordinate employee travel arrangements and maintain travel schedules and calendars
- Review, correct, and process employee timecards while ensuring accurate recordkeeping
- Support project coordination efforts by organizing documentation, tracking revisions, and maintaining project records
- Assist purchasing activities, vendor communications, and supply management
- Maintain office supplies, conference rooms, and general office organization
- Process shipping and receiving documentation and support operational recordkeeping
- Provide administrative support to Operations, Purchasing, Production, and other departments as needed
- Assist with special projects and one-time assignments that support business operations
Qualifications and Requirements
- Minimum of 2 years of administrative, office coordination, receptionist, or related experience
- Strong proficiency in Microsoft Word, Excel, Outlook, and other Microsoft Office applications
- Excellent organizational skills with strong attention to detail and accuracy
- Ability to manage multiple priorities and adapt to changing business needs
- Professional communication skills with the ability to interact effectively at all levels of an organization
- Self-motivated "go-getter" with a willingness to learn new processes and take on additional responsibilities
- Strong work ethic, initiative, and ability to work both independently and collaboratively
- Experience supporting project-based, manufacturing, engineering, or construction environments is a plus

The pay range for this position is $37,440-$47,840 annually, excluding benefits, bonuses, or other compensation. Your final compensation will depend on your skills, qualifications, experience, location, and internal pay equity. Please note, hiring at the top of the range is uncommon to allow room for future growth.
