Job Description
Our client is seeking a highly organized and proactive Executive Assistant to provide high-level administrative and logistical support to a senior executive. This trusted partner will manage complex calendars, coordinate travel and events, prepare meeting materials, and oversee a variety of business and personal priorities while maintaining the highest level of professionalism and confidentiality. The ideal candidate thrives in a fast-paced environment, anticipates needs, manages multiple priorities with ease, and enjoys serving as a key resource for executive operations and special projects.
Responsibilities:
- Provide high-level administrative support to a senior executive, including calendar management, meeting coordination, travel arrangements, and expense reporting
- Coordinate business and personal schedules to ensure seamless alignment and organization
- Manage event and conference logistics, including travel, accommodations, meeting spaces, catering, and vendor coordination
- Prepare meeting materials, presentation decks, agendas, and communications
- Support training programs through scheduling, registration, materials preparation, and logistical coordination
- Track expenses, maintain organized documentation, and support successful execution of events and initiatives
- Manage confidential personal and business-related tasks, including scheduling, purchasing, errands, and household coordination
- Coordinate transportation arrangements, including airport pickups and drop-offs
- Plan and execute executive meetings, family events, and special activities as needed
- Serve as a professional liaison between executives, internal teams, external partners, and family members
- Lead special projects from research and planning through execution and follow-up
- Research and coordinate travel arrangements, accommodations, transportation, and activities, including last-minute requests
- Provide administrative support to additional executives and leadership team members as needed
- Assist with office operations, special projects, and other responsibilities as assigned
- Support occasional event-related activities requiring organization, coordination, and attention to detail
Qualifications and Requirements:
- Previous experience supporting senior-level executives required
- Strong ability to manage confidential and sensitive information with discretion and professionalism
- Excellent verbal and written communication skills, including email and text communication
- Highly organized with strong attention to detail and follow-through
- Ability to anticipate needs, solve problems proactively, and take ownership of responsibilities
- Strong judgment and ability to work independently in a fast-paced environment
- Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel
- Ability to manage multiple priorities, shifting deadlines, and competing demands
- Professional, dependable, and adaptable with a service-oriented mindset
- Strong coordination and project management skills with the ability to see tasks through completion

The base pay range for this position is $110,000 – $120,000, excluding benefits, bonuses, or other compensation. Your final compensation will depend on your skills, qualifications, experience, location, and internal pay equity. Please note, hiring at the top of the range is uncommon to allow room for future growth.
