Job Description
We are seeking a dedicated and detail-oriented Office Administrator & Accountant to join our client’s team in Greensboro, NC. In this role, you will oversee day-to-day administrative functions while supporting accurate financial record-keeping, grant accounting processes, payroll, cash receipts and accounts payable. This position reports to the Controller and is ideal for someone with strong accounting knowledge, financial software experience and the ability to keep office operations organized and running smoothly.
Responsibilities:
Accounts Payable
• Process invoices following Federal grant accounting methods, ensuring proper supporting documentation and approval
• Verify general ledger account distributions and project codes
• Enter invoices into financial accounting software
• Review open accounts payable with the Comptroller weekly
• Process weekly accounts payable payments to vendors
• Maintain highly organized and detailed accounts payable vendor files
• Process annual 1099s for vendors as required
• Manage organization petty cash
• Generate and record monthly journal entries for postage and copier usage
Cash Receipts
• Process cash receipt deposits
• Make copies of all checks to be deposited; additional copies may be needed for grant files
• Prepare deposits for pickup by bank courier or deposit checks directly using the bank check scanner
• Record deposits in financial software and review with the Comptroller for accuracy
• Maintain organized and detailed cash receipts files
Payroll
• Process semi-monthly payroll timesheets and run preliminary payroll reports
• Review payroll reports with the Comptroller before submitting to the payroll company
• Maintain organized and detailed payroll files
• Validate and process employee payroll changes including wages and benefits
• Enroll employees in benefits programs
• Maintain accurate vacation, sick and personal leave records for each employee
• Generate payroll journal entries within financial software
• Reconcile payrolls to the general ledger for accuracy
• Fund the pension plan each payroll for pension withheld
Office Management
• Oversee building maintenance and monitor preventative maintenance and repairs
• Schedule building maintenance appointments
• Order office supplies
• Manage a team of two receptionists
Other Responsibilities
• Copy supporting documentation needed for invoicing grants for reimbursement
• Work with the Comptroller on grant report preparation and filing
• Run reports and analyze accounts as needed
• Assist the Comptroller with audit and budget preparation
• Assist with month-end close
Qualifications and Requirements:
• 3+ years of accounting experience preferred
• Strong foundation in accounting principles and financial concepts
• Experience with financial accounting software and accurate data entry
• Knowledge of accounts payable, cash receipts, payroll and general ledger processes
• Strong organizational skills with excellent attention to detail
• Ability to maintain accurate files and confidential employee and financial records
• Ability to commute to Greensboro, NC 27408

In the spirit of pay transparency, we want to share the base salary range for this position is $40,000-$50,000, not including benefits, potential bonuses or additional compensation. If you are hired, your base salary will be determined based on factors such as individual skills, qualifications, experience, and geographic location. In addition, we also believe in the importance of pay equity and consider the internal equity of our current team members as a part of any final offer. Please keep in mind that the range mentioned above is the full base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future & continued salary growth.
