The Reserves Network is seeking an experienced Customer Care Coordinator / Receptionist to join our Corporate Headquarters team in Fairview Park, Ohio.
This role serves as the first point of contact for incoming calls, visitors, building tenants, vendors, and internal team members. The ideal candidate is professional, approachable, highly organized, and able to thrive in a fast-paced environment. This person must be comfortable handling a high volume of calls, and be able to remain calm, professional, and solution-focused when de-escalating challenging situations. Key Responsibilities
The Customer Care Coordinator / Receptionist will support daily front desk operations and administrative functions, including but not limited to:
- Provide exceptional customer service to incoming callers, visitors, employees, and building tenants.
- Answer and direct incoming calls in a professional and timely manner.
- Remain calm and professional, using strong communication skills to de-escalate situations and route concerns appropriately.
- Manage the front desk for all building tenants.
- Handle all incoming and outgoing mail, packages, and deliveries.
- Maintain conference room calendars and company vehicle schedules.
- Monitor, create, and update Certificates of Insurance.
- Serve as the point of contact for building maintenance needs and coordinate with vendors.
- Assist with miscellaneous administrative projects.
- Support sourcing and recruiting efforts as needed.
- Monitor and respond to inquiries from the “More Information” inbox on the company website.
- Monitor, order, and maintain supplies for headquarters and branch offices.
- Coordinate company travel, including air travel, rental cars, hotel stays, and large event bookings.
Requirements
- Minimum of 1 year of customer service experience. Preferably in call center, front desk, administrative, or hospitality, with stable work history with demonstrated reliability and commitment.
- Ability to in person work Monday through Friday, 8:00 a.m. to 5:00 p.m., with flexibility to adjust hours as needed for events. There is no remote work opportunities.
- Experience handling difficult customer interactions or escalated calls preferred.
- Excellent interpersonal skills with a professional, approachable, and trustworthy demeanor.
- Ability to remain calm, patient, and professional when speaking with upset callers or individuals in stressful situations.
- Ability to work in a fast-paced environment while managing multiple phone lines and competing priorities.
- Strong organizational skills with the ability to prioritize tasks based on urgency and importance.
- Ability to adapt quickly to changing situations and remain calm under pressure.
- Self-motivated and able to work independently with minimal oversight.
- Ability to quickly learn recruiting software and internal systems.
- Strong computer skills, including proficiency with Microsoft Office products.
- Excellent verbal and written communication skills.
