Your New Role:
Are you an experienced administrative professional who thrives on keeping a busy professional office organized and running smoothly? The Reserves Network is partnered with an established West Des Moines law firm seeking an Office Administrator to serve as a key resource for attorneys, staff, clients, vendors, and firm leadership.
This highly visible position combines office administration, HR support, employee coordination, facilities management, recruiting, onboarding, meetings and events, and day-to-day problem solving.
As the Office Administrator, you will help oversee the daily operations of the West Des Moines office while creating an organized, professional, and welcoming environment.
Responsibilities:
- Coordinate daily office operations, supplies, equipment, correspondence, and vendor relationships
- Serve as a primary point of contact for attorneys, staff, clients, visitors, and vendors
- Coordinate client meetings, conference rooms, catering, scheduling, and meeting logistics
- Assist with office events, employee functions, and firm-sponsored activities
- Coordinate facility maintenance, repairs, office setups, cleaning concerns, and building management needs
- Assist with technology needs, workstation setups, equipment, IT requests, and basic troubleshooting
- Support recruiting efforts, including interview scheduling and candidate communication
- Coordinate new-hire onboarding and employee offboarding, including workspace preparation, access, documentation, and orientation
- Assist with HR administrative responsibilities and maintain confidential employee documentation
- Help address staff concerns, assist with follow-up and documentation, and escalate matters appropriately
- Provide backup support to Legal Administrative Assistants during absences or increased workloads
- Communicate regularly with the Executive Director regarding staffing, workflow, facilities, and office needs
- Help ensure shared spaces, conference rooms, and common areas remain organized and professional
Qualifications and Requirements:
- High school diploma or equivalent required
- Previous experience as an Office Administrator, Office Coordinator, Executive Assistant, Administrative Manager, or similar role
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Professional, dependable, proactive, and customer-service focused
- Strong attention to detail and follow-through
- Ability to prioritize multiple responsibilities in a fast-paced professional environment
- Sound judgment and discretion when handling confidential information
- Experience with HR administration, recruiting, or employee onboarding is a plus
- Previous law firm or professional services experience is preferred
