Job Description
The Vessel Coordinator is responsible for managing vessel operations, including setting up shipments, maintaining logs, assigning vessels, and coordinating land loads for trucking companies. This role supports inventory management through document reconciliation, reporting, and processing purchase orders. The ideal candidate is detail-oriented, organized, and able to manage multiple tasks while maintaining effective communication with internal teams and external partners.
Responsibilities:
- Set up vessels, including creating advance shipping notices and assigning vessels for land loads.
- Maintain vessel logs and create folders for documentation.
- Reconcile yard and warehouse receiving documents.
- Process direct purchase orders.
- Maintain and update reports to assist with end-of-month reconciliation.
- Communicate effectively with internal teams, customers, and trucking companies.
- Support the Inventory Manager with general inventory and office tasks.
- Occasionally lift items weighing 10–25 lbs. as needed.
Qualifications and Requirements:
- Some college education preferred.
- 3–5 years of general office experience.
- Proficiency in Microsoft Office (Word and Excel) is a plus.
- Strong oral and written communication skills.
- Comfortable handling multiple projects and interruptions simultaneously.
- Flexible work schedule, including occasional mandatory Saturdays.
- Accounting experience or background is helpful.
