Job Summary
The Office Assistant serves as the owner’s right-hand, providing vital administration, operational, and marketing support to ensure Southern Landscaping runs smoothly and efficiently. This role is ideal for a highly organized, dependable individual who enjoys wearing many hats and helping the company grow
Responsibilities:
- Manage day-to-day office operations, including phone calls, emails, and scheduling.
- Maintain organized systems for estimates, invoices, receipts, and project records.
- Assist with payroll, time sheets, vendor coordination.
- Order supplies, track inventory, and oversee deliveries.
- Support bookkeeping tasks and assist with basic financial recordkeeping.
- Serves as the first point of contact for clients, providing friendly and professional assistance.
- Schedule estimates and follow-up with customers regarding services, and satisfaction.
- Send quotes, invoices, and payment reminders as needed.
- Gather and document client feedback and testimonials.
- Manage and update social media pages (Facebook, Instagram, Google Business Profile, etc…).
- Collect before/after project photos and create short marketing posts.
- Assist with online advertising campaigns and local promotions.
- Track lead sources and help prepare monthly marketing performance reports.
- Support website updates and ensure all service areas and offers are current.
- Maintain an up-to-date job schedule for crews and upcoming projects.
- Communicate project details and logistics between the owner, team members, and customers.
- Monitor job progress and flag any scheduling conflicts or issues.
- Coordinate with subcontractors or suppliers when needed.
Qualifications and Requirements:
- 2-3 years of office support required
- Strong organizational and multitasking abilities.
- Excellent communication and customer service skills.
- Comfortable with Microsoft Office, Google Workspace and QuickBooks.
- Social media and basic marketing knowledge preferred.
- Previous experience in office management, customer service, or construction/landscaping a plus.

In the spirit of pay transparency, we want to share the base hourly pay rate for this position is $15.00-18.00 per hr, not including benefits, potential bonuses or additional compensation. If you are hired, your base salary will be determined based on factors such as individual skills, qualifications, experience, and geographic location. In addition, we also believe in the importance of pay equity and consider the internal equity of our current team members as a part of any final offer. Please keep in mind that the range mentioned above is the full base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future & continued salary growth.
