Job Description:
We are seeking a highly organized and detail-oriented Executive Administrative Assistant / HR Coordinator for a temp-to-hire opportunity with our client. This role supports senior HR leadership and performs a variety of complex and confidential human resources and executive administrative duties. The ideal candidate thrives in a fast-paced environment, maintains discretion, and can manage multiple priorities independently.
Responsiblities:
- Provide confidential executive administrative support to senior HR leadership
- Manage calendars, schedule meetings, coordinate appointments, and arrange travel
- Assist with special projects and daily workflow management
- Coordinate annual performance evaluation processes and employee contract renewals
- Support compensation administration, including maintaining salary structures and preparing benchmarking data
- Maintain HR databases, job descriptions, policies, and procedures
- Assist with HRIS record maintenance and generate reports as needed
- Coordinate annual benefits enrollment (health, life, flexible spending accounts, etc.)
- Serve as a liaison between employees and insurance representatives for benefit-related matters
- Assist with employee training initiatives and recognition programs
- Prepare correspondence, reports, and presentations
- Coordinate meetings, programs, purchase orders, expense reports, and related documentation
- Maintain pension statement records and documentation
- Prioritize workload independently and complete additional clerical projects as assigned
Executive Administrative Assistant requirements include:
- 2–4 year college degree or related certification preferred (or equivalent experience)
- Minimum of 5 years of executive administrative support experience; HR experience preferred
- Strong written and verbal communication skills
- Ability to interact professionally with all levels of staff, vendors, consultants, and external agencies
- Knowledge of federal and state employment laws and compliance regulations preferred
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Basic working knowledge of HRIS and payroll systems
- Strong organizational skills with the ability to manage multiple priorities
- High level of discretion and confidentiality

In the spirit of pay transparency, we want to share that the base salary range for this position is $27-29.00 per hour not including benefits, potential bonuses, or additional compensation. If you are hired, your base salary will be determined based on factors such as individual skills, qualifications, experience, and geographic location. In addition, we also believe in the importance of pay equity and consider the internal equity of our current team members as a part of any final offer. Please keep in mind that the range mentioned above is the full base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future & continued salary growth
