Job Description
The Administrative Assistant: Records Coordinator will be responsible for administrative support to the clerk’s office which involves processing the release of public information and open records requests in compliance with state statutes and assisting with data entry related to record keeping and reporting.
Responsibilities:
- Assist with planning and scheduling of meetings
- Make appointments and may assist with travel arrangements.
- Communicate with other departmental staff on a variety of requests.
- Compile data for daily, monthly, and annual reports
- Respond to information requests and prepare reports for distribution.
- File and retrieve materials and data from computerized and manual filing systems
- Maintains the department's filing system.
- Maintain maintenance schedule according to the records retention schedule.
- Manage supplies and office equipment use through departmental check-out system
- Issue supply and equipment (keys) to staff.
- Process external mail as well as inter-departmental City correspondence.
- Receive and respond to public inquiries on the telephone and in-person
- Provide information and refers inquiries to other City employees when required.
- Process requisitions for a variety of purchases through the purchasing system.
- Perform other related duties as assigned.
Qualifications and Requirements:
- Ability to compile data and write clear, concise reports.
- Ability to establish, maintain process, and prepare a variety of records and reports.
- Ability to maintain an organized office environment.
- Excellent written and verbal communication skills; Proficient mathematical skills.
- Excellent customer service skills.
- General knowledge of municipal government.
- Knowledge of Georgia Open Records and Public Disclosure laws a plus.
- Knowledge of principles and methods of records and information management.
- Ability to meet critical deadlines.
- Ability to understand, interpret, and apply general administrative policies and procedures.
- Ability to read, understand, and review documents for accuracy and relevant information.
- Knowledge of City ordinances, policies and procedures a plus.
- Knowledge of modern office procedures and equipment.
- Skilled in Microsoft Word; Excel, PowerPoint, Outlook for administrative functions.

The pay range for this position is between $20.00 – $21.00 per hour, excluding benefits, potential bonuses, or other compensation. Final compensation will depend on individual skills, qualifications, experience, geographic location, and internal pay equity. When a pay range applies, hiring at the top of the range is uncommon to allow room for future and continued growth.
