Job Description:
As a File Clerk in the Human Resources department is responsible for maintaining organized and up-to-date employee records, ensuring accurate filing and retrieval of confidential documents, and supporting administrative tasks within the HR team. This role requires a high level of attention to detail, discretion, and organizational skills.
Responsibilities:
• Create, organize, and maintain physical and digital employee personnel files in compliance with legal and organizational requirements.
• File documents such as employment applications, onboarding forms, benefits paperwork, performance evaluations, disciplinary records, and other HR-related documents.
• Retrieve requested documents and provide appropriate records to authorized HR personnel in a timely manner.
• Ensure all files are labeled accurately and stored securely to protect confidential employee information.
• Assist in converting paper records into electronic files (scanning and indexing).
• Perform routine audits of employee files to ensure completeness and compliance with recordkeeping standards.
• Assist HR staff with clerical tasks such as data entry, mail distribution, document shredding, and photocopying.
• Support document retention and destruction schedules in line with company policy and legal requirements.
• Maintain an organized filing area and report supply needs as necessary.
Qualifications and Requirements:
• High school diploma or equivalent required.
• Prior experience in an office or clerical setting preferred; HR experience is a plus.
• Proficient in basic computer applications including MS Office (Word, Excel) and document management systems.
• Strong attention to detail and organizational skills.
• Ability to handle sensitive and confidential information with discretion.
• Good communication and interpersonal skills.
