The Executive Administrative Assistant must possess a professional demeanor with strong capabilities in planning and organizing. Responsibilities:
- Calendar & Schedule Management:
Coordinate and manage the CEO’s calendar, including internal and external meetings, travel, and personal appointments. Prioritize competing demands and optimize the CEO’s time. - Communication & Correspondence:
Manage incoming and outgoing communication on behalf of the CEO. Draft, proofread, and respond to emails, reports, and presentations with professionalism and confidentiality. - Travel & Logistics:
Plan and coordinate all aspects of business and personal travel, including flights, accommodations, itineraries, and ground transportation. - Meeting Preparation & Follow-Up:
Prepare meeting agendas, take notes, and track action items to ensure timely follow-up and execution. - Administrative Support:
Handle confidential documents, maintain filing systems, process expenses, and manage various administrative tasks to support the CEO’s daily operations. - Project Coordination:
Assist with special projects, strategic initiatives, and operational tasks. Research and present information as needed to support decision-making. - Personal Assistance:
Provide support with personal tasks and errands, household vendor coordination, event planning, and family-related scheduling as needed.
Qualifications and Requirements:
- 5+ years of experience supporting C-level executives, ideally in logistics, supply chain, or a fast-paced industry
- Exceptional organizational and time management skills
- Strong written and verbal communication skills
- High degree of professionalism, discretion, and confidentiality
- Tech-savvy; proficient in Microsoft Office Suite, Google Workspace, EOS software, and communication tools (Slack, Zoom, etc.)
- Ability to anticipate needs, think critically, and offer solutions
- Flexible and adaptable with a “no task is too small” mindset
- Bachelor’s degree preferred

The base salary range for this position starts at $80,000/year, excluding benefits, bonuses, or other compensation. Your final salary will depend on your skills, qualifications, experience, location, and internal pay equity.
